Stave Fleet AI Operator is a ServiceNow-native AI agent designed to transform fleet management from reactive operations into intelligent, automated decision-making.
Built on ServiceNow and powered by Stave Fleet Manager and nrichD, the AI Operator acts as a Fleet Digital Operator — continuously observing fleet conditions, analyzing risk, and triggering workflows across maintenance, compliance, procurement, and operations.
Unlike traditional dashboards or reporting tools, the AI Operator does more than provide insights. It reasons and acts by:
- prioritizing inspections and repairs based on compliance, risk, and operational impact
- generating ServiceNow work orders and scheduling maintenance automatically
- identifying vehicles at risk of failure and recommending proactive actions
- aligning procurement and inventory with maintenance needs

The solution leverages curated, normalized data across VINs, FMCSA records, telematics, fuel, violations, and maintenance history to deliver context-aware automation that reduces downtime, improves compliance, and optimizes fleet costs.
The Fleet AI Operator is a ServiceNow-native AI agent built on top of Stave Apps data model to enable automation for fleet managers. Rather than a general-purpose assistant, there is a vehicle/work-order priority scoring engine — it inspects open FMCSA violations, recalls, inspections, maintenance plans, schedules, telematics, and crash history, then assigns a numeric priority score so the highest-risk vehicles and work orders surface first. Use cases are organized into four scoring groups: Safety & Compliance, Operational Continuity, Preventive & Predictive, and Efficiency & Optimization.
Safety & Compliance
- Critical Violation or Out-of-Service Vehicle - higher scores for critical FMCSA violations or inspections
- Open Recall (Recall Incomplete) - higher scores when open recalls are identified for your fleet assets
- Upcoming or Overdue Maintenance (plan-aware) — raises priority when a scheduled WO is due soon or past due
- Safety Event Chain (Crash → Inspection → Repair) - raises alerts for recent FMCSA crash has no follow-up inspection or Work Order Task completed
- Inspection Not Completed Before Dispatch - dispatch-blocker flag when an inspection tied to the vehicle's schedule window is open, failed, overdue, or missing
- Decommissioned Vehicle Still Scheduled — raises priority when decommissioned vehicle in schedule
- Recall Completed but No OEM/FMCSA Response — flags vehicles where the recall repair is done but response is empty

- Maintenance Overlaps Schedule — conflict detection when a WO/WOT time window intersects a scheduled trip
- Vendor Bottleneck on Critical WO/WOT — marks critical, vendor-assigned tasks past planned dates for expedited handling
- Vehicle Has Many Open WOs — escalates when a single vehicle exceeds an open-task threshold across tasks
- Tracker Offline or Missing Telemetry — adds points when missing data
- Double-Booking (Vehicle or Driver) — raises a conflict alert when two schedule windows for the same vehicle/driver overlap
Preventive & Predictive
- Maintenance Schedule Work Order Approaching/Due — raises priority for open WOs generated from a maintenance schedule nears or passes
Efficiency & Optimization
- Idle or Misplaced Vehicle — flags vehicles whose location is stale or outside the expected zone
- Underutilized Vehicle Optimization — compares a vehicle's weekly mileage against fleet average and scores when it falls below the utilization threshold
