Key Features in v1.0 Structured Order Process Management
OMTRAC introduces a clear, state-driven workflow to manage procurement and order activities from initiation to closure:
- New – Orders or cases are created via email with purchase order, price quotation, and contract details.
- Work In Progress – Orders and order lines undergo a comprehensive process including data classification, data extraction, master data checks, exception handling, and order entry, ensuring accuracy and compliance before moving forward.
- Closed – Orders are reconciled operationally, then archived for reporting and audit purposes.
User Roles & Permissions
- Requestor – Initiates new purchase or order requests with customer and contract details.
- Order Management Advisor (x_vuram_opm.order_management_advisor ) – Manages order cases, updates order lines, monitors order stages, and handles exceptions throughout the lifecycle.
- Sales Agent (x_vuram_opm.sales_agent) – Communicates with customers to resolve missing details and works on assigned order processing tasks.
- Finance Agent (x_vuram_opm.finance_agent) – Handles credit-related tasks and performs financial validations for orders.
- Admin (x_vuram_opm.admin) – Oversees application setup and configuration, including role management, table configurations, and environment preparation.
- ServiceNow Admin (admin) – Standard ServiceNow administrator role with full platform access for system-level configurations and maintenance.
Document Intelligence & Workspaces
OMTRAC leverages Document Intelligence to automatically extract key fields such as amounts, dates, parties, and terms from contracts, quotes, and purchase orders, reducing manual data entry and improving accuracy.
The Workspace Experience provides a unified view for each order or customer, consolidating orders, contracts, exceptions, and related documents so users can act from a single screen.
Exception & Validation Management
OMTRAC provides configurable exception rules to identify and flag missing or incomplete details in documents, ensuring timely resolution and compliance before order progression. It also validates master data and document integrity to reduce errors and improve process reliability.
Data & Reporting
